Invoice aging

Invoice aging is a way of sorting your unpaid invoices by how long they have been outstanding, usually in buckets of current, 1-30, 31-60, 61-90 and over 90 days, so you can see which brokers owe you and how late they are.

In practice

A trucking company's aging report usually lists invoices by broker. The total shows how much money you have earned but not received; the buckets show where it is stuck.

What to do with it:

  • Call on day one past due, not day thirty. Most late payments are a missing document, not a broker in trouble.
  • Check the paperwork first. A rate confirmation that doesn't match the invoice, or a bill of lading without a signature, is the most common reason a broker hasn't paid.
  • Note repeat slow payers and price their future loads, or choose quick pay on them.
  • Over 60 days, follow the broker's dispute process and consider a claim against the broker's bond.

What is an accounts receivable aging report?

A report from your bookkeeping software or factoring portal that lists every unpaid invoice by customer and age bucket. It is the fastest way to see which brokers pay late and how much of your earned money is still out.

How often should a carrier check invoice aging?

Weekly. A one-truck carrier with a few late invoices can be short on fuel money within a month, so catching a slow payer at 35 days is far better than finding it at 75.
